Invite employees to your Gegsy admin, control which pages they can access, and manage invites, deactivation, and removals.

About team management

Team lets you invite employees to your Gegsy admin and control exactly which admin pages each one can access. Each member signs in with their own email and only sees the pages you grant them.

To open it, go to Account → Team (https://app.gegsy.com/account/team).

Before you begin

  • Available on the Pro and Premium plans. See gegsy.com/pricing.
  • Only the account owner can access this; it can't be granted to employees.

Invite a team member

  1. Go to Account → Team.
  2. Select Invite member.
  3. In the Invite team member dialog, enter the member's First name and Last name. Both are required.
  4. Enter their Email. This becomes their sign-in identity, so use an address they can access.
  5. Set Page access (see Choose what a member can access below).
  6. Select Send invitation.

The member receives an invitation email and won't have access until they accept it and set a password. See How a member accepts an invitation below.

Choose what a member can access

Page access controls which admin pages a member can open. You set it the same way when inviting a new member or editing an existing one.

Start from an Access preset to pre-fill a sensible set of pages, then fine-tune individual pages if you like. Adjusting any single page switches the preset to Custom. The available presets are:

  • Full access — every grantable page.
  • Manager — everything except the Account section pages (such as billing, team, referrals, and audit log).
  • Cashier — front-of-house only: the home dashboard and the order pages.
  • Custom — nothing pre-selected; you build the access up by hand.

Below the preset you'll see a running count of how many pages are granted, plus Select all and Clear all shortcuts. The pages are listed in groups that mirror the admin's left navigation. Each group has an All / None toggle, and you can check or uncheck any individual page.

Edit a member's access

  1. On the Team page, find the member in the list.
  2. Select the Edit access action (the pencil icon).
  3. In the Edit team member dialog, update the name or Page access.
  4. Select Save changes.

A member's email is their login identity once they accept the invite, so it's locked after that — you'll see Email can't be changed after the member accepts. If the member hasn't accepted yet (their status is still Invited), you can still correct the email; the dialog notes: You can still change the email until this member accepts. Resend the invite after saving. After changing an unaccepted member's email, resend the invite so it reaches the new address.

Understand member statuses

Each row shows a status badge:

  • Active — the member has accepted their invite and can sign in.
  • Invited — the invite has been sent but not yet accepted.
  • Deactivated — the member's access has been turned off.

The Access column shows how many pages the member is granted.

Resend an invitation

If a member hasn't accepted yet (status Invited), select the Resend invite action (the mail icon) on their row to send the invitation email again.

Deactivate or reactivate a member

To temporarily turn off a member's access without removing them:

  1. Select the Deactivate action (the block icon) on their row.
  2. Confirm in the Deactivate access dialog. The member will immediately lose access until you reactivate them.

To restore access to a deactivated member, select the Reactivate action (the check-circle icon) on their row.

Remove a member

Removing a member permanently deletes them and revokes their access, and also frees up their email so it can be used again.

  1. Select the Remove action (the trash icon) on their row.
  2. Confirm in the Remove team member dialog. This permanently removes the member and revokes their access, and can't be undone.

How a member accepts an invitation

When you invite someone, Gegsy emails them an invitation with a Set your password link. The link expires in 7 days.

  1. The member opens the email and selects Set your password.
  2. On the Set your password page, they enter a New password and Confirm password. The password must be at least 8 characters and include uppercase, lowercase, a number, and a special character.
  3. They select Set password & sign in.

Once they finish, their account activates, they're signed in automatically, and their status on your Team page changes from Invited to Active.

If your plan changes

If your plan no longer includes team management, you can still open this page to remove existing members — which frees up their access and email — but you can't add or edit members until you upgrade again.
