Sync with Square
Connect your Square account to Gegsy and sync items, categories, modifiers, and locations, and review the Square permissions Gegsy relies on.
Who is this article for?
- Gegsy merchants who manage their catalog in Square and want it reflected in Gegsy.
- Owners and employees who need to connect, refresh, or disconnect the Square integration.
About Sync with Square
Gegsy reads your catalog from Square. Your items, categories, modifiers, and locations are created and maintained in Square, then synced into Gegsy so your app and storefront stay in step with your point of sale. The Sync with Square screen is where you manage the connection between Square and Gegsy, run a manual sync when something looks out of date, and review the permissions the integration uses.
You'll find it at Operations → Sync with Square (https://app.gegsy.com/operations/sync-with-square).
Before you begin
- Available on all plans.
- Access is gated by the Sync with Square permission. The account owner has it by default and can grant it to employees.
- You need an active Square account to connect.
Check your Square connection
The Square Permissions card shows the current state of the connection: Manage the connection between Square and Gegsy.
A status indicator appears in the top-right of the card:
- Connected — Gegsy has a valid connection to Square.
- Not Connected — there's no valid connection; reconnect to restore syncing.
- Checking connection... — Gegsy is verifying the connection.
What you can do from this card depends on the status:
- When connected, you'll see Refresh Token and Deauthorize.
- When not connected, you'll see Reauthorize to reconnect your Square account.
Refresh Token
Click Refresh Token to renew the connection's access token without reconnecting from scratch. On success you'll see Square token refreshed successfully! Use this if syncing has stopped working but you're still connected.
Reauthorize
If the status reads Not Connected, click Reauthorize to send you through Square's sign-in and re-establish the connection.
Sync your Square data
When you're connected, the Sync Your Square Data card appears: If your data or scopes gets out of sync, you can manually synchronize it with Square.
Click Run sync to pull your latest items, categories, modifiers, and locations from Square into Gegsy. Run a sync after you make changes in Square and don't see them reflected in Gegsy yet.
Square is the source of catalog data, so a sync brings Gegsy in line with Square. Custom fields that you add inside Gegsy (settings that don't exist in Square) are preserved across a sync rather than being overwritten.
Review Square permissions
The Square OAuth Scopes card lets you Review the permissions required for this integration. It lists each permission Gegsy requests, in a table with three columns:
- Status — a green check means the permission is granted; a red mark means it's missing.
- Scope — the name of the Square permission.
- Description — what the permission allows, for example View catalog items and categories or View locations tied to the Square account.
If any required permissions are missing, an Update scopes button appears next to the card title. Click it to send you back through Square to grant the missing permissions, then return to Gegsy. Keeping scopes complete ensures syncs and related features keep working.
Disconnect Square
To disconnect, click Deauthorize on the Square Permissions card. A confirmation dialog titled Confirm Deauthorization appears and asks Are you sure you want to deauthorize your Square account?
It warns: This action will disconnect your Square integration, and you will no longer be able to process payments, update data between Square and Gegsy, or access related features in your app.
- Click Cancel to keep the connection.
- Click Deauthorize to disconnect. On success you'll see Square account deauthorized successfully!
After deauthorizing, the card switches to Not Connected and you'll need to Reauthorize to start syncing again.
