Manage your locations
View your locations, sync them from Square, update several at once with bulk actions, pause online ordering, and open a location to edit its settings.
Who is this article for?
- Gegsy merchants who run one or more locations and want to review them, keep them in sync with Square, and update their ordering settings.
About the Locations page
The Locations page is your at-a-glance view of every location on your Gegsy account. Each row shows a location's name, address, the fulfillment methods it offers, and its current status, so you can see how every storefront is set up without opening it.
Your locations come from Square. You add and remove locations in Square, then bring them into Gegsy with the Sync with Square button. From this page you can also update several locations at once, pause online ordering, and open any single location to edit its settings.
Before you begin
- The Locations page is available on all plans.
- Access is controlled by the Locations permission. Account owners have it by default and can grant it to employees from Account → Team.
- Locations sync from Square, so you'll need your Square account connected to Gegsy.
Open the Locations page
Go to Locations in the dashboard, or visit https://app.gegsy.com/locations.
Read the locations list
Every location appears as a row in the table. The columns are:
- Location name — the location's name as it comes from Square.
- Address and City, State — where the location is.
- Phone number — the location's contact number.
- Pickup, Curbside, and Delivery — a check means the fulfillment method is enabled for that location; an X means it's off.
- Square — whether the location is active in Square.
- Subscription — whether the location is included on your active subscription. Select the info icon next to the column heading for a reminder that you add or remove locations on your subscription from Manage Plan.
- Setup — shows Complete once a location offers pickup or delivery, and Incomplete until then.
- App visibility — a switch that controls whether the location shows in your customer apps and storefront. Turn it off to hide a location from customers.
- Accepting orders — a switch that shows whether the location is currently taking online orders. When ordering is paused, the row shows Not accepting orders (or Paused until the resume time you set).
- Action — opens the location's settings to edit (see below).
Sync your locations from Square
Because locations live in Square, the way to add a new location to Gegsy is to create it in Square first, then sync.
- Add or update the location in your Square account.
- On the Locations page, select Sync with Square.
- Wait for the confirmation that the sync finished. Your new or updated locations then appear in the list.
The Sync with Square button is available whenever your Square connection is active. If it's unavailable, reconnect Square first.
Pause online ordering for a location
Use the Accepting orders switch in a location's row to stop taking online orders without hiding the location from customers.
- Turn off the Accepting orders switch for the location.
- In the Pause Online Ordering window, leave Pause online ordering on. The location stays visible, but customers can't place orders.
- To reopen ordering automatically, turn on Automatically resume at a set time and choose a date and time under Resume ordering at. Enter the time in the location's local timezone — customers will see when ordering reopens, and it resumes on its own at that time.
- Save your changes.
To start accepting orders again at any time, turn the Accepting orders switch back on. Resuming is instant — there's nothing else to set.
Update several locations at once
When you have more than one location, you can apply the same settings to many locations in a single step.
- Select Bulk Edit at the top of the page. A checkbox appears in each row.
- Check the locations you want to change, or use the header checkbox to select them all.
- A bar appears at the bottom of the screen showing how many locations are selected, with these actions:
- Fulfillment — turn Enable Pickup, Enable Curbside Pickup, and Enable Delivery on or off for every selected location.
- Restricted dates — add the dates when the selected locations won't fulfill pickup and delivery orders, and choose which locations each date applies to. Turn on Repeat Yearly for recurring closures such as holidays.
- Other details — share the same Wi-Fi details and bathroom code across the selected locations.
- Pause ordering — pause (or resume) online ordering for all selected locations at once, with the same optional auto-resume time described above. When you set a resume time, it's applied in each location's own timezone.
- In the action's window, confirm your changes and select Update Locations to apply them.
- Select Cancel Bulk Mode when you're done to return to the normal list.
You can also copy a delivery zone from one location to others — that's done from a single location's delivery settings, covered in Edit a location's settings.
Open a location to edit its settings
To change the settings for one location, select Edit (the pencil icon) in that location's Action column. This opens the location's settings, where pickup, delivery, delivery zones, restricted dates, other details, and location information are each configured.
