Set up shipping

Let customers ship orders to their door — set your ship-from location, carrier rates, zones, packaging, shippable products, and sales tax in Gegsy.

Who is this article for?

  • Gegsy merchants on the Pro or Premium plans who want to ship orders to customers, with live carrier rates and zone-based pricing.

About shipping

Shipping lets customers choose Shipping at checkout and have their order mailed to them, alongside pickup and delivery. You set which products can ship, where they ship from, what customers pay, and where you collect sales tax — all from one screen. Connect Shippo to show live carrier rates at checkout, and buy the actual labels in Square once orders come in. Your categories and items sync from Square; you choose which of them can ship.

Before you begin

  • Available on the Pro and Premium plans. See gegsy.com/pricing for plan details.
  • You need at least one Square location with a complete address (street, city, and postal code). Add the address to your location in your Square dashboard, then refresh the page.
  • To show live carrier rates, you'll need a Shippo account and its Live API key.

Open the Shipping settings

Open Menu → Shipping (https://app.gegsy.com/menu/shipping).

The page is one long settings screen. You can set everything up before turning shipping on — the configuration cards stay editable whether shipping is live or not. When you're done, click Save changes at the bottom. Some controls (like connecting Shippo) save on their own, but most changes only persist when you click Save changes.

Accept shipped orders

At the top, turn on Accept shipped orders to let customers choose Shipping at checkout. Pickup and delivery are unaffected by this toggle.

You can leave it off while you finish configuring everything below, then switch it on once your ship-from location, rates, and shippable products are ready.

Carrier rates (Shippo and Square)

The Carrier rates card connects Shippo to show live carrier rates to customers at checkout. You buy the actual labels in Square once orders come in. It has three rows:

  • Connected accounts — click Connect Shippo to link your account. Paste your Shippo API key (find it in Shippo under Settings → API). Once connected, the row shows a green Connected badge and the last few characters of your key. Click Manage to view or disconnect.
  • Shipment carriers — once Shippo is connected, your carriers populate automatically from your Shippo account. If you haven't connected yet, the row prompts you to connect Shippo first. Carriers in test mode show a Test badge.
  • Shipping boxes — click Manage to open Shipping boxes and add packaging presets (see Packaging presets below).

Ship From Location

Pick the Square location that all shipping orders ship from. The point-of-sale at this location also fulfills the order, so the right kitchen or store gets it regardless of which location the customer was browsing.

Start typing in the search box to find a location by name, street, city, state, or zip, then select it. Once chosen, the card collapses to a summary with a Change button. Only Square locations with a complete address appear here. A ship-from location is required when shipping is active.

Packaging presets

Standard box sizes help Shippo quote carrier rates accurately. Without a preset, Shippo falls back to a generic parcel. Open Shipping boxes from the Carrier rates card, then click Add package and set:

  1. Package name, plus Length, Width, and Height (in inches).
  2. Max weight — the most this box should ever ship. Heavier carts get split across multiple boxes or routed to a larger one.
  3. Box weight (optional) — the empty weight of the box, added to item weight when quoting carriers.
  4. Max items (optional) — a hard cap on items per box.

Pick one box as the Default so the storefront knows which preset to pack shipping orders into. Without a default, quotes fall back to a generic parcel.

Shippable products

Categories and items sync from Square. In the Shippable products card you choose which of them can ship. Items appear in a shipping cart only when their category is enabled here. There are two Manage rows:

Shippable categories

Click Manage on the Shippable categories row to open it. Pick which categories can ship, search to find a category, and drag rows to set the order they appear in the shipping menu. Reset to Square Order clears your custom order and restores the order from Square.

Shippable items

Click Manage on the Shippable items row (enable at least one category first). For each item you can set:

  • Shippable — whether the item can ship. Use Enable shipping for all items in category to toggle a whole category at once.
  • Weight (lb) — the per-unit weight, required when an item is shippable.
  • Items / slot — how many of a box's item slots one unit consumes.
  • Upsell — promote the item in the shipping cart. Use Upsell all shippable items in category to toggle a category at once.

Drag rows to set their order, and use Reset to Square Order to restore Square's ordering.

Shipping rates

In the Shipping rates card, define how much customers pay for shipping. Click Add rate, give it a Rate name (the name customers see at checkout), then pick a Type:

  • Flat rate — a fixed fee charged per order or per item.
  • Free shipping — free for All orders, or only when the order total or order weight falls within a minimum and/or maximum you set.
  • Based on order total, Based on number of items, or Based on weight total — tiered pricing where each range charges a different fee. The last tier is open-ended ("and more"); click Add row to split it.

Saving a rate doesn't make it available on its own. Add the rate to a shipping rate profile (next section) to offer it at checkout for a region.

Shipping rate profiles

The Shipping rate profiles card (also called zones) controls which rates are offered based on the customer's shipping address. Click Add profile, name it, and pick the Countries (and, for the US, the specific states and territories) it covers. Then choose the shipping options for the profile:

  • The flat rates you created above.
  • Live carrier services from your connected Shippo account.

A rate that isn't in any profile won't be offered at checkout. Leave a profile's options empty and customers in that region see no shipping options.

Sales tax

Square's auto-applied tax is location-based, so without this list every shipment would inherit your ship-from location's tax rate. In the Sales tax card, click Manage to set, for each country and state where you collect sales tax, which Square tax to apply on shipments to that destination.

Add the countries where you have nexus, then map each subdivision (state, province, etc.) to one of your Square taxes. Only shipments to listed states are taxed. If a row has no tax picked, orders shipping there won't be taxed. If the list is empty, Gegsy defaults to charging tax only when shipping to your ship-from state.

You create the taxes themselves in Square first; they then appear here to map. If you haven't set up any taxes in Square, the picker tells you to create them there first.

Save your changes

Click Save changes at the bottom of the page to persist your configuration. You'll see a confirmation when settings save, or an error if something goes wrong — in which case try again.
