Set up group orders

Turn on group orders, set session limits, pickup and delivery rules, eligible locations, and which categories and items customers can add.

Who is this article for?

  • Gegsy merchants who want to let a customer group build one shared order, each participant paying for their own items.
  • Merchants who want to control which locations, categories, and items are available for group orders.

About group orders

Group orders let several people add to one shared order session and pay separately. You decide whether group orders are available at all, set session and fulfillment rules, and choose which locations, categories, and items customers can order from. This page is the settings screen — it does not start or manage live sessions. To organize an actual session, see Organize a group order.

Categories and items here come from Square. Sync your catalog from Square first (on the Items and Categories screens) so they show up to enable.

Before you begin

  • Available on the Pro and Premium plans. See gegsy.com/pricing for plan details.
  • You need at least one active location, plus categories and items synced from Square.

Open group order settings

Open Menu → Group Orders (https://app.gegsy.com/menu/group-orders).

Turn group orders on

In the Group Order Settings card, switch on Enable group orders in app. When this is off, customers can't start group orders and the rest of the settings stay hidden. Turning it on reveals the session, pickup, delivery, locations, and categories/items cards.

Session Settings

These defaults apply to every new group order session.

  • Max participants per session — the maximum number of people who can join one session. Leave it blank for no limit (the field shows No limit). Allowed range is 1 to 500.

Pickup Settings

  1. Switch on Enable Pickup to let group orders be picked up in store.
  2. Set the Required lead time using the Days and Hours dropdowns. The page restates the rule below the fields (for example, "Requires at least 2 hours notice for pickup.").
  3. Optionally set a Minimum order amount for pickup (optional) that the session's combined total must reach.

Delivery Settings

  1. Switch on Enable Delivery to offer delivery for group orders.
  2. Set the Required lead time with the Days and Hours dropdowns. The rule is restated below (for example, "Requires at least 1 hour notice for delivery.").
  3. Choose who handles delivery:
  • In-House Delivery — "Orders are delivered by your team." Choose this if you have your own delivery team. In-house coverage is set per location with Delivery Zones (a radius or a custom area), with a default radius applied if you haven't set any; see Manage your locations.
  • Managed Delivery — a third-party courier partner delivers the order. The available partner depends on your location, and fees vary by distance, order size, and traffic. (If no managed-delivery partner is enabled for your account, only In-House Delivery appears.)

In-house delivery fees

With In-House Delivery selected:

  • Switch on Enable custom delivery fees to charge your own fee. Then set a Fee label (optional) (placeholder Convenience fee) and a Delivery Fee. The fee must be greater than 0 when custom fees are on.

Managed delivery fees

With Managed Delivery selected, the courier partner sets the base fee. You control who pays it:

  • Large Group Order Threshold — orders at or above this amount are treated as large group orders and request a car for delivery; higher delivery fees may apply.
  • Who pays the delivery fee? — applied to the combined session total. Options:
  • Customer pays the full delivery fee
  • I pay the full delivery fee
  • I pay a percentage; customer pays the rest — then enter Percent you pay (0–100).
  • I pay a fixed amount; customer pays the rest — then enter Your fixed amount.
  • Customer pays a fixed amount; I pay the rest — then enter Customer fixed amount.

Delivery minimum and free delivery

These apply whether delivery is in-house or managed:

  • Minimum order amount for delivery (optional) — the smallest session total that qualifies for delivery.
  • Waive delivery fee — turn this on to drop the delivery fee once the session reaches a spend. Then set Session total for free delivery. This threshold must be greater than the delivery minimum, or saving is blocked.

Eligible Locations

In the Eligible Locations card, switch on each location that should accept group orders. A location must be active for the app to be selectable; locations that aren't show an Inactive badge and can't be toggled. The card shows a running count, "{selected} of {total} locations selected." You must select at least one location before saving with group orders on.

Eligible Categories & Items

The Eligible Categories & Items card controls what customers can add to a group-order cart. Items appear only when their category is enabled here.

Categories

Select Manage next to Group-order categories to open Edit Group Order Categories.

  • Tick each category to make it available for group orders. Use Select all to enable every category, or Bulk edit to enable or disable several at once.
  • Drag rows to set the order categories appear in the group-order menu.
  • Reset to Square Order clears your custom order and restores Square's order; you can drag to reorder again afterward.
  • Select Save to apply. Enabling a category also auto-enables the items in it that aren't already on.

Items

Select Manage next to Group-order items to open Edit Group Order Items. (Enable at least one category first — items can't be configured otherwise.)

  • Tick each item to make it available for group orders, or use Bulk edit to change several at once.
  • Upsell marks an item to be promoted within its category in the group-order menu. Use Enable all items in category and Upsell all enabled items in category for quick setup.
  • Drag rows to set the order items appear within each category, and use Reset to Square Order to restore Square's order.
  • Select Save to apply.

Save your settings

Select Save changes at the bottom of the page. If something's missing, Gegsy shows what to fix — for example, select at least one location, enable at least one category, enable at least one item in the enabled categories, or enable pickup or delivery. A Saved confirmation appears when the settings are stored.
